Before making a booking, firstly think about which rooms you will need to use and how much time you will need for not only the actual event but also for any preparation or tidying up afterwards.
Then if you know the date or dates that you want, check the availability by using this link to our online booking system where you can view the availability of any of the rooms for specific dates. Click on Next or Previous Week or Next or Previous Month to scroll the calendar forward or back, or put in a specific date and click on GO to view availability in the week that includes that date.
If you are a registered user you can make a booking request directly on the calendar by clicking on the + symbol for the date required and logging into the Hallmaster system.
If you are not a registered user, please use the contact us page to send us a booking request. You must include your full name, address with post code, email address and phone number. Don’t forget to include the date, start and end times and rooms you wish to book. Make sure to select Booking Village Hall as the value for the send to field in your email, as this will route the email to the bookings administrator. If you don’t wish your contact details to be shown on the availability screen please indicate that you want the booking to be “Private” or “Public – contact details hidden” (see Our Privacy Policies section below). The default if you do not mention this, is for the booking to have a public status.
You will receive an email response to confirm your booking once it has been processed and approved by our bookings administrator. At that stage it wall appear on the availability screen and this will be the confirmation that your booking has been accepted. You will also receive an email verification request from Hallmaster. You need to verify your email address otherwise it will not be possible to send you your invoice electronically.
Making a booking is a contractual commitment to reserving those requested village hall facilities. You will be invoiced shortly after the event for the facilities and times as booked even if you do not use all of the facilities or times as booked, as your booking will have precluded others from using those facilities at that time. Payment should be made within one calendar month of the invoice being issued. The Village Hall committee reserves the right to charge an additional administration fee of £25 for outstanding invoices that are not paid within the one month payment period.

If you need to cancel a booking or change it in any way, use the same contact us page as for bookings to send us a cancellation or change request. Please ensure that you include your full name and email address and details of the dates and times of the changes required and that you select Booking Village Hall as the value for the send to field in your email. You will receive an email back to confirm your cancellation or change request. Cancellation or amendment requests must be received before the booking date and time. If they are not, the booking fee as per the original request will still be incurred.
Our Privacy Policies
Personal details provided to us are only used for the purpose of administering the bookings, contacting you if we need to in respect of a particular booking, and for invoicing you and collecting payment. Details are retained in the system for 5 years after your last booking unless you request them to be removed earlier – but this cannot be done while there are outstanding future bookings for you or outstanding payments for previous bookings. Bookings are entered in the system as having a public or public contact details hidden or private status. If the booking is shown as public, the room availability screens will show the booking event name, if a viewer clicks on your specific booking, your name, email and phone number will be displayed. This enables a person interested in a public event to contact you about attending. If the status is public contact details hidden the booking will be named but the contact information will not be shown. If the status is entered as private the booking will simply show as Private Event. So, if you wish your booking event and contact details not to be available to the public, please request it to be shown as public contact details hidden or private. We will not share your details with anyone other than those persons required for administering the bookings and the operation and management of the hall.
Village Hall Hire Rates
The Village Hall has a number of facilities that can be hired separately or together. The two rooms are the Main Hall, and the smaller Guild Room. The Guild room has a bar that can be opened up if also hired and a licence applied for by the user, and it also has a serving hatch into the kitchen. The kitchen can be hired with either the Main Hall or the Guild Room but not independently. The facilities can be booked by the quarter hour period but the majority of the rates shown reflect the hourly rate, but make sure you allow time for arriving or setting up and any clearing away at the end of the period. The whole suite can also be hired for one or two days instead of by the hour, and these rates are also given.
Rates are also determined by two other factors. There is a summer rate from 1st April to 30th September and a winter rate for the period from 1st October to 31st March. Also persons who live within the parish of Aston Cantlow get a preferential rate to reflect the fact that much of the funding to maintain the hall has come from local people within the parish.
